Running an Event Live

The Live command center, reviewing photo and video submissions, facilitator completions and force-activation, the help channel, venue displays, and what happens after the event ends.

Once an event is active, the tab order changes to put operations first: Live leads, followed by Overview, Submissions, Challenges, Teams, Chat, and Activity.

The Live tab — command center

The Live tab is the single screen to run the event from:

  • Status bar — the event status badge, a running clock (elapsed time, time left, or the final time), the team count, a realtime-connection badge, and the lifecycle buttons (Pause / End Event, etc.). Open-ended hunts (no end time) get a Set time remaining control so you can put a countdown on the clock mid-event.
  • Scoreboard — the live team standings.
  • Activity — the realtime activity feed (completions, hints, artifact plays, adjustments).
  • Photo & video reviews — a pending-review panel, present only when Review Before Points is on. Empty state: "Queue is clear", with running "{n} approved · {n} rejected" counts.
  • Live settings — the six realtime toggles (Leaderboard, Team Chat, Help & Support, Quiz Mode, AI Photo Verdicts, Review Before Points). Flipping one applies to players within seconds. See Creating & Configuring Events for what each does.

The Submissions tab

The Submissions tab is the full review surface. Status pills — Pending / Approved / Rejected / All — carry live counts; filters narrow by challenge ("All challenges") and team ("All teams"); results render as a card gallery with pagination. Empty pending state: "No submissions here" / "Nothing is waiting for review right now…".

The review drawer

Clicking a submission opens a lightbox drawer built for fast triage:

  • The media, with the team name and a "Challenge — {name}" reference block so you can check the submission against the clue and criteria.
  • An AI verdict panel — when AI pre-checked this submission, you see its confidence as a percentage with a progress bar plus the model's reasoning text. The verdict is advice; you decide.
  • "Submitted by" and "Challenge points", plus a Points to award input to override the default award.
  • Approve (A) and Reject (R) buttons — A and R are keyboard shortcuts, and the arrow keys move between submissions, so a queue can be cleared without touching the mouse.
  • Rejecting opens a reason step — "Why is this being rejected?" — with preset reason chips and a free-text field ("Or write your own reason…"). The helper is explicit: "The team sees this reason with a prompt to resubmit." Confirm with Confirm reject.

Reviews are idempotent: a submission that has already been reviewed returns a conflict rather than double-awarding — safe with two reviewers working the same queue.

How AI verdicts and review interact

  • With AI Photo Verdicts on and Review Before Points on, the AI verdict is advisory only — every photo/video still holds its points until a human approves. The verdict (confidence + reasoning) is stored to speed up your call.
  • With AI on and review off, the AI's pass/fail decides instantly.
  • AI errors fail safe: if the AI call fails, the submission is accepted into the pending review queue ("AI validation failed, pending manual review") — nothing is silently lost or auto-approved.
  • Approve awards your Points to award override, or the challenge's full points — doubled if the team had a Double Down effect live at the moment they submitted.
  • Reject awards 0 points; the team sees your reason and can resubmit.

Roadblocks & facilitator completion

Roadblock challenges (and anything with Requires Facilitator on) can't be self-submitted — the mobile app hides the form and shows your facilitator instructions with "Waiting for facilitator confirmation".

There is no admin-portal button for marking these complete. Completion happens through the facilitator flow: a staff-team member in the mobile app, or a direct API call, marks the challenge done for the team — optionally with a points override and notes. The completion is guarded: it only works on facilitator-supervised challenges (normal challenges get points via Adjust Points instead), and a team that already completed the challenge can't be awarded twice.

Force activate

When an activation gate misfires in the field — dead beacon battery, rain-soaked QR, GPS trouble — open the team's detail page → Challenges tab and use Force activate on the stuck challenge. Details in Challenge Activation.

The help channel

The event's Chat tab hosts the Help Channel card ("View and respond to team help requests.") with a live connection indicator. The left Teams list is sorted so teams awaiting a reply float to the top, each with a red dot and a wait-time badge; select a team to see its thread and reply via the message input ("Message {team}…"). Players reach this channel from "Get Help" in the app — see Team Chat & Help.

Moderation: know what exists

There is no content-report or member-block system — players cannot report or block anything in the app, and there is no moderation queue. What you can do: facilitators can delete any chat message in their org's events, and disruptive members can be removed from their team via team member management. The Team Chat toggle is the blunt instrument — flipping it off silences team chat event-wide.

Venue screens: Display View & Slideshow

From the event's More menu:

  • Display View — a standalone read-only page for TVs and projectors (leaderboard/activity), authenticated by a read-only display token so no admin login is needed on the venue machine. Display tokens are valid for 90 days.
  • Slideshow — cycles through submitted photos, holding each for the event's configured slideshow interval (Branding tab, default 5 seconds).

After the event

Ending the event stops submissions, but players aren't locked out immediately: their sessions remain valid until 24 hours after the event's end time, so teams can browse the final leaderboard and their results the next morning. After that, the event's data remains available to you in the admin portal (Submissions, Activity, Teams) until you archive it.
